Tender Management for Electrical Services Upgrade


Valen Project Services have been engaged as Client-Side Project Managers to manage electrical services upgrades for this large strata building in Surry Hills. Valen have been tasked to undertake a scoping exercise and then undertake a competitive tender between incumbent providers to the Strata Plan and additional external providers specialist to the scope.

Design Stage

Valen undertook site meetings with client representatives and collated all data from previous inspection reports and thermographic scanning of the building assets to determine a clear scope of works.

From this data a schedule of qualitative questions and quantitative values were put together to form returnable schedules to enable the necessary work scope to be tendered competitively. Once tender documents were finalised and approved by the owners representatives, Valen proceeded to formally open the works for tender.

Tender Stage

Valen coordinated three additional contractors all with specialty in the field to tender alongside the two incumbent electrical services providers to the building. Tender documents were distributed and a site briefing was undertaken with all tenderers in attendance. During the walkthroughs multiple RFIs were noted, some able to be closed out on the spot and circulated to all parties for reference.

Three tenderers submitted a response for consideration. Valen assessed all tenderers on program of works, lump sum pricing for contract works, schedules of rates, inclusions vs exclusions, methodology, and prior experience. From this assessment a recommendation with scoring for each contractor was provided to the Owners Corporation to allow a decision to be made and a contractor to be engaged for the project works.
